Job description
To support the Technical Department by managing technical records, monitoring vessel certificates and compliance, assisting with reports, and keeping the filing system updated. The role requires strong organizational skills and attention to detail to ensure smooth technical administration and timely communication.
Duties & Responsibilities:
Data maintenance in the Filing System.
Assist Technical and Marine Superintendents in compiling reports.
File correspondence to receive from ships and maintain all technical files.
Checking monthly status of vessel’s class certificates & services, inform the superintendent about urgent matters, sending Class status information to the vessels monthly / at any updates.
Assist with compilation of docking reports as provided by the Superintendent.
Provide remote assistance to the Superintendents as required – vessels do not have Internet access or when Superintendent is travelling
Attend Technical Department meetings, record minutes and file as required.
Prepare regular reports and summaries for technical management, including compliance status and upcoming certification deadlines.
Keep records and monitor all monthly reports received from vessels. Monitor and maintain ship certificates on the Filing System.
Requirements:
It is a must to speak and write in both English and Greek.
Any relevant qualifications or certificates will be an advantage
Ability to work in a fast-paced, on-site environment
Previous experience in a similar position is mandatory (Fleet Secretary or Administrator)
