Job description

On behalf of our client, we are seeking a Chief Operations Officer (COO) to own and run all operational activity across the organization. This role ensures the business functions effectively every day projects progress, issues are resolved, teams deliver, suppliers perform, and nothing is left hanging. Any operational matter that does not clearly belong to another leader, or is not being handled to the required standard, sits with the COO. The Managing Director delegates full responsibility for operational execution to this role.

Core Responsibilities:

  • Daily Operations

• Take full responsibility for day-to-day operations across a busy organization of approximately 100 people.

• Stay close to what is happening on the ground and act immediately when something is off.

• Prevent small issues from becoming recurring problems and set up processes where relevant.

  • Project Ownership

• Own operational projects end-to-end.

• Break work into actions, assign owners, set deadlines, and follow through.

• Push projects to completion — not “almost done”.

  • Coordination & Follow-Up

• Coordinate department heads and senior leadership.

• Ensure everyone is clear on what they own and by when.

• Follow up relentlessly until tasks are delivered properly.

• Escalate early when progress stalls.

  • Workplace, Hospitality & Support Services

• Oversee workplace operations, hospitality services, kitchen/café, and facilities.

• Ensure daily readiness, cleanliness, supplies, and smooth functioning.

• Step in personally when required to keep things running.

  • Facilities, Maintenance & Fixes

• Oversee facilities, maintenance, equipment, and infrastructure.

• Handle or coordinate small repairs and operational fixes without delay.

• Manage preventive maintenance and urgent breakdowns.

  • Vendors & Contractors

• Manage suppliers and contractors directly.

• Brief, chase, supervise, and replace vendors when needed.

• Ensure work is completed on time, to standard, and without repeat issues.

  • Relentless Ownership

• Track open issues and loose ends across the organization.

• Follow up until full closure is confirmed.

• Ensure problems are solved once — not repeatedly.

• Take ownership of ad-hoc and unstructured matters.

  • Shielding the Managing Director

• Remove operational noise, interruptions, and decision fatigue from the Managing Director.

• Bring solutions, not problems.

• Keep the Managing Director informed — not involved.

Job requirements
